A. Personal Data

We may collect personally identifiable information that you voluntarily provide when you register with the Services or when your organization Administrator creates an account for you:

  • Identity Data: Name, email address, and phone number.
  • Business Data: Company name, team hierarchy, and employee details.
  • Financial Data: Payment details (processed via secure third-party gateways like Razorpay/Stripe; we do not store raw card data).

B. Sensitive Permissions (Mobile Application)

To provide specialized B2B CRM features, our app requires access to certain sensitive permissions. We strictly adhere to the Google Play Developer Program Policy regarding these permissions.

Call Log & Phone Permissions: Vivtej TeleCRM accesses and uploads Call Log data (including phone numbers, timestamps, and call durations). This data is collected solely to provide automated business activity tracking for the employer and is not used for advertising or shared with unauthorized third parties. This collection occurs even when the app is in the background to ensure call logging is not interrupted.

Purpose of Background Collection: To ensure the reliability of automated lead tracking, the app captures call data immediately following a business call. This ensures no business interaction goes unrecorded if a sales executive navigates away from the app.

  • Contact List: To allow users to import business leads directly into the CRM.
  • Call Recordings & File Monitoring: Vivtej TeleCRM allows users to manually link a local device folder containing call recordings. The app monitors this specific folder to identify, upload, and sync business call recordings with the corresponding lead history for performance monitoring by the organization’s Administrator.

C. Data from Integrated Services (Meta & Google)

If you link your Facebook Lead Ads or Google Ads account, we collect the "Lead Information" (Names, Emails, Phone Numbers) generated by your ads to automatically populate your CRM database.

2. Use of Your Information

We use the information collected to:

  • Create and manage your business account.
  • Process payments and subscriptions.
  • Generate analytics reports on sales calls and lead conversion rates.
  • Fix bugs, prevent fraud, and improve app performance.
  • Comply with legal obligations in India.

3. Disclosure of Your Information

We do not sell, rent, or trade your personal information. We may share information with:

  • Service Providers: Third-party vendors who perform services for us (e.g., AWS for hosting, Firebase for analytics).
  • Legal Requirements: If required by law or to protect our rights in the jurisdiction of Visakhapatnam, AP.
  • Business Transfers: In connection with a merger or sale of company assets.

4. Data Security & Retention

We use administrative, technical, and physical security measures (including SSL encryption) to protect your data.

Retention: We retain data as long as your account is active.

Archival: If a business subscription expires, lead data is archived for 90 days before permanent deletion, unless requested otherwise.

5. Your Data Rights & Account Deletion

You have the right to access, review, and correct your data.

  • Withdraw Consent: Users may opt-out of call log syncing or audio folder monitoring via device settings or the app’s toggle. Note: This will disable automatic sales activity logging.
  • Account Deletion: Accounts are managed by your Employer/Organization Administrator. Individual users must contact their Admin to delete their profile. Admins may request a full workspace data purge by contacting support@vivcall.com.
